Through the site SOPHIA, information about its products is provided along with the option to download or purchase them. Due to the nature and purpose of this website, individuals who wish to benefit from its services must attain the status of “CLIENT,” which is acquired by registering through one of the site’s forms (for service requests or product purchases). Being a CLIENT implies acceptance of the Terms of Use in effect at the time of accessing the website.

In accordance with international trade laws and U.S. export policies, SOPHIA does not conduct transactions or accept registrations from individuals or entities located in countries subject to embargoes or economic sanctions by the United States. These countries currently include, but are not limited to: Cuba, Iran, North Korea, Syria, and the Crimea region. This list may change in accordance with U.S. legislation and government policy. USERS are responsible for staying informed about such restrictions.

SOPHIA reserves the right to reject any registration or purchase from USERS or CLIENTS who do not meet age criteria or who reside in jurisdictions that present legal or commercial risks, including but not limited to U.S. export restrictions or sanctions.

  1. CLIENT REGISTRATION AND DATA PROTECTION

At SOPHIA, USERS become CLIENTS either by submitting a specific service request or by making a purchase. We only request essential information such as name, email, phone number, and location, solely to manage communication, accounts, orders, and billing.

We do not store CLIENT payment information. We prioritize user data security and comply with best practices to safeguard all entrusted information.

All personal data is handled in accordance with our Privacy Policy, which outlines our security practices and the rights USERS have over their data. We encourage reading the full Privacy Policy for further clarity.

SOPHIA complies with all applicable data protection laws and adopts the necessary technical and organizational measures to prevent unauthorized access, modification, or data loss.

SOPH-IA.AI is the official portal of Sophia, a conversational artificial intelligence platform specialized in enterprise voice automation. Through this website, Sophia’s capabilities are presented, including the design, deployment, and management of automated voice agents aimed at customer service, sales, collections, and business communications.

The Sophia platform enables users to build customizable voice agents with natural language understanding, sentiment analysis, and contextual response capabilities. Agents can be created using a visual interface or API, deployed across multiple channels (voice, web, SMS, among others), and monitored in real time through advanced dashboards.

The site provides detailed sections covering key features, use cases, regulatory compliance (including GDPR, HIPAA, and PCI-DSS), and technical information for external system integrations. Contact options are also available for requesting demos, technical assistance, and commercial advice.

For products and services offered under the Software as a Service (SaaS) model, CLIENTS will have access to all relevant updates at no additional cost, provided these updates fall within the originally contracted functional scope.

These updates may include performance improvements, enhanced voice processing, integration with new channels or analytics tools, and adjustments required by changes in data protection laws or third-party platforms.

In the case of new versions or features that substantially extend the service scope, SOPH-IA.AI reserves the right to offer them as additional modules or under a new service plan, with prior notice to CLIENTS regarding the applicable terms and conditions.

CLIENTS will be duly informed of any significant updates and provided with technical documentation and support to facilitate adoption. Acceptance of these updates will be voluntary, unless they are necessary to ensure platform security, stability, or legal compliance.

  1. PRICING POLICY

At SOPHIA, we strive to offer competitive and fair prices for all our products and services. Prices listed on the website reflect the latest values and are subject to change. We reserve the right to update pricing without prior notice but will inform CLIENTS in advance whenever possible.

For ongoing subscriptions or contracts, price changes will not affect the current billing cycle. Adjustments will apply on the next renewal or purchase.

Price changes will be communicated via usual channels such as registered email or site notifications, allowing CLIENTS to make informed decisions.

All listed prices exclude applicable taxes, which will be calculated at checkout based on the CLIENT’s location.

By completing a purchase, CLIENTS agree to pay the listed amount plus applicable taxes. We appreciate your understanding and your business.

  1. AVAILABILITY

The online product catalog available through SOPH-IA.AI includes on-demand support, technical support subscriptions, licenses for modules and add-ons, as well as asynchronous training and scheduled live training sessions.

Certain catalog items require a customized pre-sales process. In such cases, the method of acquisition, along with steps to schedule a demo or receive a technical-commercial proposal, are specified on the respective product information page.

  1. PAYMENT

CLIENTS agree to pay at the time of placing their order. Fees are clearly communicated before completing the purchase.

Payment must be made by credit or debit card. Any unauthorized or fraudulent charges must be reported via email or phone as soon as possible so SOPHIA can take appropriate action.

  1. SUBSCRIPTION PRODUCTS

SOPHIA offers Software as a Service (SaaS) products that require monthly, semiannual, or annual payments. CLIENTS agree to pay the amount specified during the purchase process using a valid payment method.

If payment is not made on time, the service will be temporarily suspended and any server or instance placed on hold. SOPHIA will send reminders so the CLIENT has the opportunity to make the payment.

Once on hold, the CLIENT will lose access to their instance, and pending support cases will be paused. If payment is not received within 15 days of the renewal date, SOPHIA will terminate the service and delete all instances or servers, regardless of any data loss.

SOPHIA is not liable for operational losses resulting from late payments. It is the CLIENT’s responsibility to meet payment deadlines as outlined on each product page.

  1. SECURITY

The site uses industry-standard security measures. Payments are processed via Stripe and/or PayPal.

After a successful order (including acceptance of the Terms of Use and purchase confirmation), an email will be sent with the order details. Upon payment confirmation, SOPHIA will deliver the purchased product or service accordingly.

  1. SUPPORT

The subscription to the SOPHIA platform includes technical support and does not require separate purchase. CLIENTS will have access to specialized assistance according to their contracted plan.

Support is provided in the following formats:

  • 8×5 Support: Available Monday through Friday, from 9:00 a.m. to 6:00 p.m. (Mexico time).
  • 24×7 Support: Available at any time, for plans that include this coverage.

When initiating a support request, SOPHIA’s technical team will first seek to understand the CLIENT’s issue or requirement, and will make every effort to resolve it within the estimated response time. It is recommended that requests be clearly defined to ensure efficient service.

Use of the support service implies acceptance of SOPHIA’s general conditions and policies for technical assistance. All support interactions are subject to quality standards and response times as defined in the applicable Service Level Agreement (SLA).

  1. ORDER CANCELLATIONS AND REFUNDS

One-time payment products/services:

  • SOPHIA will accept order cancellations in the following cases:
  • Cancellations are only accepted for live courses.
  • Refunds are requested through Stripe or PayPal (depending on the payment method used). These providers notify the CLIENT’s issuing bank, which processes the refund. This process may take an average of 10 business days. A 10% penalty will apply for administrative costs.
  • If the order has been processed and the service has already started, cancellations or refund requests will not be accepted.

Subscription products/services:

  • CLIENTS can cancel anytime unless bound by a contract.
  • If under contract, cancellation terms follow the agreement.
  • For recurring subscriptions, cancellations will take effect at the end of the billing cycle.
  • No refunds are issued.
  • Instances/servers will be deleted on the next renewal date. CLIENTS should export data beforehand.
  • SOPHIA does not retain any backup post-cancellation.

If a refund is approved, it will be processed through the original payment method (via Stripe or PayPal). Refund timing is subject to their processing policies (5 to 30 business days).

  1. INTELLECTUAL AND INDUSTRIAL PROPERTY

SOPHIA holds all rights over the content, design, and source code of this website, including but not limited to images, texts, logos, commercial names, and data.

Reproduction, adaptation, modification, or distribution of the site content without express written permission is strictly prohibited.

No implicit or explicit license is granted over any intellectual or industrial property unless explicitly authorized in writing. Site content may only be used for informational or service purposes when the source is cited.

  1. LIMITATION OF LIABILITY

In case of breach: The USER’s remedy is limited to service termination and possible refund for unfulfilled services, within the policy limits.
